1. Who we are
This Privacy Policy explains how SYNKSPACE AI (“SYNKSPACE”, “we”, “us”) handles personal data when you visit synkspace.tech (the “Site”), contact us, request early access to our products or book a meeting. For the personal data described in this policy, we are the data controller.
You can reach us about anything in this policy at hello@synkspace.tech.
2. What we collect
We keep data collection small. We collect:
- Information you give us. When you use the contact or early-access form we collect your name, email address, the topic you choose and your message. Anything else you write in the message is also stored, so please do not include sensitive information (such as health data, government IDs or passwords).
- Booking details. If you book a meeting, the scheduling provider (see “Who we share data with”) collects your name, email, chosen time and any answers you give, and shares them with us.
- Email correspondence. If you email us we keep the messages and any details you include.
- Technical data. Our servers and hosting infrastructure automatically log your IP address, browser and device type, pages requested and timestamps. We use this to deliver the Site, keep it secure and diagnose faults.
- Preferences stored on your device. The Site stores your light/dark theme choice in your browser’s local storage. It stays on your device, is not sent to us and is not used for tracking.
We do not knowingly collect special-category data, and we do not sell personal data.
3. How and why we use it
We use personal data to:
- respond to your enquiries and early-access requests, and schedule and hold meetings (to take steps you ask for, and our legitimate interest in running our business);
- assess and, where agreed, deliver projects or products for you (performance of a contract, or steps before entering one);
- keep the Site secure, prevent spam and abuse, and fix problems (legitimate interests);
- understand in aggregate how the Site is used so we can improve it (legitimate interests);
- meet legal, tax and regulatory obligations (legal obligation); and
- send you updates about early access or our products if you asked for them. You can opt out at any time (consent or legitimate interests).
We do not use the content of your messages or forms to train AI models, and we do not make decisions about you based solely on automated processing that has legal or similarly significant effects.
6. International transfers
Our providers may process data in countries other than your own, including countries whose data-protection laws differ from yours. Where we transfer personal data from the UK, EEA or Switzerland, we rely on appropriate safeguards such as adequacy decisions or standard contractual clauses.
7. How long we keep it
We keep personal data only as long as we need it for the purposes above:
- enquiries and early-access requests: up to 24 months after our last contact, unless a project or relationship follows;
- client and contract records: for the length of the engagement and the period required for tax, accounting and legal claims;
- server logs: typically up to 90 days.
When data is no longer needed we delete or anonymise it.
8. Security
We use measures appropriate to the risk, including encryption in transit (HTTPS), access controls, and keeping systems patched and backed up. No system is completely secure, so we cannot guarantee absolute security. If a breach affects your data, we will notify you and the relevant authorities where the law requires.
9. Your rights
Depending on where you live, you may have the right to:
- access the personal data we hold about you and get a copy;
- have inaccurate data corrected, or have data deleted;
- restrict or object to our processing, including for direct marketing;
- receive your data in a portable format;
- withdraw consent at any time, without affecting earlier processing; and
- complain to your local data-protection authority.
To use these rights, email hello@synkspace.tech. We may need to verify your identity first and will respond within the time the law allows (generally one month). We will not discriminate against you for exercising your rights.
California and similar US state laws. We do not sell or share personal data for cross-context behavioural advertising. You can still ask to know, correct or delete your data using the contact above.
10. Children
The Site and our services are for businesses and are not directed at anyone under 16. We do not knowingly collect data from children. If you think a child has given us personal data, email hello@synkspace.tech and we will delete it.
11. Third-party links
The Site may link to other websites and services, such as our booking page and social profiles. We do not control them and are not responsible for their privacy practices. Please read their policies.
12. Changes to this policy
We may update this policy from time to time. The “Last updated” date shows the latest version. If we make material changes we will take reasonable steps to tell you, for example with a notice on the Site.
